  1. Constitution of the donation Committee.
The Vice President for Campus and sustainability shall constitute the Commission of donation of assets of the UA. This Commission will be composed of the Vice President for Campus or person delegated; the Manager or person delegated and the Vice-Rector of education technologies, or person delegated.
  • The Committee meets bi-monthly (if there are requests), will consider all applications received and will take a decision which shall be communicated in writing to the head of the institution that made the request.
  1. Request for donation.
  • Vice-Rectorate infrastructures, spaces and environment, asked periodically to the information/service of infrastructure and services, the ratio of available assets earmarked for donation in order to keep this list updated on the website.

  1. Resolution of the Commission on donation (procurement of equipment).
  • The donation Committee notified in writing to the head of the institution that made the request, acceptance or refusal of this.
  • In case of acceptance is indicated by writing to the applicant listing of material that has been donated as well as the deadline for that, through the procedure specified in paragraph 4 formalize the donation agreement (if there is a prior agreement in this regard).
  • Once formalized the agreement (or confirmed the existence of this) the donation Committee shall indicate in writing to the institution, the term so that it gets in contact with the University and establish the date of collection of the goods.
  1. Signing of agreement of donation by an institution.
  • From the Vice-Rectorate of Campus of the University of Alicante will be sent to the applicant institution the proposed the agreement.
  • If the institution is in accordance with the terms of the proposal you must communicate to the Vice-rectorship of infrastructures, spaces and environment the acceptance of the same.
  • Once the institution has accepted the terms of the proposal, said Vice President will follow the Protocol for the handling of agreements published in the website of the Cabinet of conventions of the University of Alicante.
  • The Vice President for Campus will receive the agreement approved by Governing Council and signed by the University of Alicante and will contact the applicant institution to manage its signature.
  1. Registration of the award
  • The donation Committee, or person to which delegates, should complete and sign in duplicate registration PMA13-A2: supply of donated goods, indicating the relationship of goods that have been awarded, with their code of inventory in your case, and the name of the institution awarded. Registering is only pending the signature by the recipient institution.
  • The donation Committee, or person to which delegates, will provide two copies of this record completed and signed, to the person responsible for the management of infrastructures and Services service stores, so perform the corresponding part maintenance (section 6) and, at the time of delivery, monitor the withdrawal and collect the signature by a representative of the beneficiary institution, two copies of the registry and resend them (paragraph 8).
  1. Preparation of goods that will be donated.

Once we receive completed award records (PMA13-A2), the person responsible for the management of warehouses of the infrastructures and services, send a part of work following the procedure of parts to external services, so that the maintenance company prepare the goods that will be donated in their corresponding location. The party, indicate the relationship of goods that have been awarded, with their code of inventory in its case, and the name of the institution awarded, to the servicing company apart them from the rest and identify them with a sign where it is reflected the name of the recipient institution. When the teams are ready, the person responsible for the management of the infrastructures and Services stores shall communicate this to the Vice-rectorship of infrastructures, spaces and environment.

  1. Collection of the goods by the recipient institution
  • To set the date that the withdrawal of the same will take place, the head of the institution must be in contact with the person designated for the management of warehouses in the UA, of the infrastructure and services (servei.infserv@ua.es)
  • This person appointed by the AU for the warehouse control, so monitor the withdrawal is carried out correctly will be present during the removal of the goods.

Note 1: If an institution not applicable to the withdrawal of the good within the period of one month since the University informs you the award, this will return to be available to be awarded to another institution.

Note 2: The transfer of the equipment will be borne by the institution which requested them.

  1. Formalization of the donation / signing of the register (two copies)
  • At the time of delivery of the equipment shall be to the signing of the register PMA13-A2 (delivery of the donated goods) by the recipient institution to make proof of delivery of the equipment.
  • The person responsible for the management of warehouses of the AU, will be sent a copy of this register correspondingly signed, the representative of the Commission on donation so appropriate to your file. Other copy will send it to the computing service or the infrastructure and services of the AU, according to the case, so they give low in its database the relationship of goods that have been awarded in donation.
